Payroll Liability: Definition and Meaning

Definition

A payroll liability is an amount owed by an employer for wages, payroll taxes, employee withholdings, benefits, or other payroll-related obligations.

Why It Matters

Accurate payroll-liability tracking supports timely payment, compliance, reliable financial statements, and good employee relations. Payroll obligations may include employee wages earned but unpaid, employer payroll taxes, employee tax withholdings, retirement-plan contributions, health-benefit deductions, and other amounts.

Businesses should have controls over payroll setup, authorization, timekeeping, pay rates, reconciliations, and timely remittance of obligations.

Example

An employer withholds payroll taxes from employee wages and records the amounts as payroll liabilities until they are remitted to the appropriate agency.
